Minutes of the Meeting of the Secretariat of Cursillo in the Diocese of Virginia

The meeting was held at St. George's, Fredericksburg.
Present were: Geoff Davis, Ed Schneider, Jo Freeman, Mark Hopkins, Joe Kokalas

Following the commissioning of Team 122, Geoff Davis opened the Secretariat meeting with prayer at 10:30 a.m.

Minutes. Ed Schneider sent the minutes of the previous meeting to Joe Kokalas to be posted on the new Web site. There were no copies to hand out for review.

Treasurer’s Report: ECDV has received $500 in donations for scholarships. This was unanimously accepted. Scholarships cn be made in honor or memory of a person. It was suggested that we name the scholarship fund in memory of the Rev. Lloyd Addington. This was moved, seconded, and unanimously passed.

Last month, the music committee asked for new books. $600 was collected at the table, the balance of $150 came from our treasury. The new books were in usage today at the commissioning. Since there was no quorum at the last meeting, this action was moved, seconded, and unanimously passed today.

Newsletter. There continue to be delays in getting a newsletter mailed. Linda Baggs is awaiting the mailing labels. [editor’s note: Jo Freeman stopped by Pete Demaree’s house after the meeting and picked up the labels. She delivered them to Linda that evening.]

Web siteThe Diocese’s Web master has advised us we can use the Web address of www.cursillo.thediocese.net. The costs for the Web site were a one-time payment of $760 for development, $250 for an index, $80 for 2-year domain name, and our Web master is paid $30 per page, $5 per button (requires software), but he donates half the cost back to ECDV. We’ve spent $70 on buttons and there are 15 pages, currently.

Joe Kokalas asked about the timeliness of posting minutes, since they are not approved until the next meeting. It was suggested that the Secretary e-mail the minutes to the members and request corrections within a certain number of days. Then they can be posted and officially approved at the next meeting. Jo Freeman suggested keeping 3 months of active minutes on the Web site and a link to archived minutes, which need to be kept until the historian no longer needs them. Ed also requested a page for the Servant Community and posting the treasurer’s report. It was reported that the link to the forms is not working. It was suggested that the newsletter on the Web site should not just be a re-printing of the hard copy, but the information should be placed as appropriately categorized. Ed sent an updated Ultreya listing to Linda Baggs and Joe.

Weekend #122 Update. Geoff reported that the Day of Deeper Understanding is scheduled for January 12, 2002. This will replace the First Ultreya for Weekend 122. The first talk on this Day is the First Ultreya talk. Jo Freeman is in the process of finding a host church in Richmond’s west end and Friday night housing for those who wish arrive the night before. It is expected to draw Cursillistas from Charlottesville, Richmond, and Gloucester, in addition to the weekend folks.

Spiritual Directors. It was reported that the Rev. Phil Askey is here on sabbatical and is looking for a church. He is a possibility for a spiritual director. In addition to spiritual directors for the Secretariat, spiritual directors are also needed for both spring weekends.

New Business.

November Weekend 121: Jan Welch is ready to mail the acceptance letters and the team is assembled and meeting. Prayer and praise services for the November weekend: St. Mark’s, Alexandria at 7:30 with Churchill Gibson. There will probably be others in Gloucester, Richmond, and Charlottesville.

March Weekend123: Rector Harry Furney is working on forming a core team. The weekend dates are March 14 – 17 at Shalom House, near Ashland.

May Weekend: Still no rector. Ed has had quite a few turn-downs. Faith Fisler said she was not comfortable being in charge of the weekend, but felt her ministry was as a cha or table leader. Lorna Worley wants to be a table leader once before accepting a Rector position. Sue Davis needs to be on a core team in Virginia before being Rector. Linda Beaven is too busy. Marie Strong is graduating that weekend and moving. Fay Cochran is not ready to serve on team again. Ed is still trying to reach Anne Ferranti. It was suggested that we ask Janet Swanson Brasfield if she has served as an Assistant Rector or Head Cha. If so, she’s another candidate for Rector.

It was reported that other dioceses move a weekend’s Assistant Rector to be Rector of the next weekend. This may be too much in one year, but may be possible for the following year. Other names we can consider: Nancy Inger, Carolyn Lennox, Trigg Archibald, Elaine Kallio, Linda Clark Gough, and Susie Norman.

We were asked to pray for Marvin Price’s family. He just lost his sister to cancer.

The November meeting will be held at 1:30 on Nov. 18th in Front Royal.

Mark Hopkins closed the meeting with a prayer at 12:20 p.m.
