Minutes of the Meeting of the Secretariat of Cursillo in the Diocese of Virginia
The meeting was held at St. George's in Fredericksburg .
Present were: Ed Schneider, Lay Director; Jo Freeman, Assistant Lay Director; Geoff Davis, Servant Community Leader; Walt TeStrake, Treasurer, and Connie Smith, Secretary.
The meeting began with grouping at 10 a.m.
Spiritual Companion.
Minutes. Minutes of the last meeting were corrected; a typo deynote should be keynote; the Fall Co-ed Weekend should be referred to by that name instead of by a number since weekend numbers are in flux right now. Geoff moved; Walt seconded; approval, with the changes, was unanimous
Treasurer's Report. There has been some inflow but not enough to make up for the considerable loss because of weekend cancellations. If the April date fills at Shalom House, at least the $825.00 deposit may apply to the next weekend scheduled there. The report was unanimously approved.
Assistant Lay Director. Jo Freeman has been studying the environment of this diocese. She is putting together a complete list of email addresses, which will be very helpful.
Upcoming Weekends. The selection of rectors for upcoming weekends needs to happen soon. Ed has not yet gotten the list from Peter. We do need to recruit people to serve on teams; Ed has received only one new application since December. The application form needs to be sent out again. Geoff suggests that clergy might be encouraged to serve on a weekend in a role other that Spiritual Director. A checkbox could be added to the application for that purpose.
After some discussion. Walt moved that Ed be given permission to carry over Joyce Bowne as rector of the next Women's Weekend and Jenny Tenney as Assistant if they are willing to serve. Marvin Price has been informed that he can serve, as well as Dan Escalera and Guy Lushin. If one of them cannot serve, a woman replacement would be a positive thing, and a woman Music Director is also recommended. The suggestion of co-assistant rectors was also made though not decided on.
Our current policy for making personnel decisions is as follows: the Database manager presents a list of names of potential rectors to the Lay Director; the Secretariat ranks them and votes. The Music Director is appointed by the Music Chair. The Spiritual Director of the Secretariat selects Spiritual Directors for the weekends. For Assistant Rector and Head Cha, the Lay Director puts together a list of eligible candidates from which the Rector makes the selection. Walt offered that in the Diocese of Southern Virginia, the Secretariat chooses rectors; rectors then submit a list of the names of the team they would like. The Secretariat may remove names; then the bishop may remove names. The Secretariat approves the final list, and the Rector calls the team. For policy for this diocese, Walt TeStrake moves that we select Rectors as above. Then the Assistant Lay Director prepare a list of names to submit to the Rector for Core Team members assistant rector and head cha; the list be reviewed by the Secretariat, agreeing that a) the list should reflect diversity and b) there should be an attempt to qualify future rectors. The Rector then makes selection from this list. Geoff Davis seconded the motion; it passed unanimously. The Music Director and the Spiritual Directors are chosen in accordance with the policy stated above.
The Secretary was directed to write a letter to Barry and Ellen Brown, refusing, if possible, to accept their resignation as team callers. (Since the meeting, there have been several email exchanges with the Browns. They are pleased with the encouragement and gratitude they have received, but have decided, prayerfully, not to alter their decision. Kathleen and Dave vanEsselstyn have agreed to call team for the November weekend; David Wright has volunteered to be team caller in the future.)
The Secretariat voted on the Rector for the next March Men's weekend and empowered the Lay Director to make the calls.
The Weekend dates for next year are as follows:
March 14 - 17. 2002 Men's Weekend at Shalom House
May 2 - 5, 2002 Women's Weekend at Mary Mother of the Church Abbey
September 12 - 15, 2002 Fall Co-Ed Weekend at Front Royal 4-H Center
The numbers for facilities are as follows: at Shalom, total 32: 16 Candidates, 2 Priests, about 12 Team members. Mary, Mother of God: 40 - 50: 25 or more Candidates; 20 Team members. For an ECLW, National team of about 10, 40-50 participants in all. The last one was held at the 4-H Center at Front Royal. There have also been successful ones at Camp Easter Seal and at St. Margaret's in Tappahannock which Jo was very instrumental in organizing.
Ed would like to see an October 15 deadline for applications for the November weekend.
Servant Community Meeting. Geoff has been working on the Servant Community meeting to take place at Trinity on Saturday, April 7. An agenda has gone out over email, complete with a keynote speaker. Chairs need to be called and contact people from their areas. Geoff has put together a proposed document for the organization of the Servant Community; he hopes to have copies available at the meeting. He will send it out over email to get feedback from Secretariat members. At last night's Ultreya, they found that some groups are meeting on Saturday mornings. They will now be providing prayer Palanca for the Secretariat.
Web site. Information for the Webpage should include: a list of officers, announcements of upcoming events, an abbreviated version of the minutes. The Newsletter editor should be our communications liaison with the Web page. Similarly, the newsletter can get stuff to Joe Kokalas for posting. Perhaps we can find one person in the Servant Community willing to serve as communications coordinator, to keep both Linda and Joe informed.
The April 21 meeting at St. George's had only three attendees.
The next meeting of the Secretariat is scheduled for Saturday, May 19 at 9:30 a.m. at Trinity Church in Fredericksburg. (Heading into town on Route 3 from 95, it is on the right, at the corner of William Street (Rte 3) and College Avenue.)
