Minutes of the Meeting of the Secretariat

PLACE: St. George's in Fredericksburg
Present were: Jo Freeman, Lay Director; Geoff Davis, Assistant Lay Director; The Rev. Bill Burk, Spiritual Advisor, Ed Schneider, Region 6 Representative and Weekend Support Chair; Shirley and Mark Hopkins, Fall Rector & Region 12 Representative/Pre-Cursillo Chair, respectively; Gwen and Joel Atwood, Region 15 Representatives; and Connie Smith, Secretary.

Jo opened the meeting with a Bible verse (2 Timothy: 2). The group selected prayer partners for the coming year, followed by grouping.
Minutes. Minutes of the last meeting were corrected: The spelling of Bill Burk's name was corrected; a question raised at the last meeting was not whether there were statistics (on Lay Directors' terms) but whether we could get them. One addition was made: The group revising the Team Training Manual needs to be reminded that they must follow the guidelines of National. The minutes were approved as amended.

Weekend facilities: In the recent past, the Treasurer has negotiated contracts. Our current Treasurer, John Shaw, has respectfully declined this responsibility. Bill Burk and Geoff Davis will review with John his understanding of the treasurer's responsibilities. In order to move forward and share the load, Jo would like to empower a Weekend Coordinator. Currently, we charge Team $150.00 and Candidates $175.00. Legally, only three (3) people are able to sign contracts. Gwen and Joel Atwood volunteered to be Weekend Coordinators. Geoff Davis moved that we authorize the Weekend Coordinators and the Pre-Cursillo Chair to work together, in consultation with the Treasurer, to locate facilities for 2003 and 2004 and make recommendations to the Secretariat to secure contracts. The motion was seconded; the vote was unanimously in favor, and the motion passed. Clarification: Joel and Gwen will be responsible for contacting the facilities for dates and contract information, which the Secretariat will approve. Yvonne Mulligan will continue to lead the oversight of Weekends.
Future Volunteers. John Sheehan of Church of the Redeemer has agreed to be a Spiritual Director for the fall. Roger Robillard has agreed to be SD at an unspecified time. Shirley Hopkins will be Rector in October. In 2003, Ed Schneider will be Rector for the Men's weekend; Sue Davis will be Rector for the Women's weekend, and Ted Simpson will be Rector for the Co-ed weekend in the fall. Alice Lees has volunteered to be the Region Rep. for Region 13 (addition: and will work to schedule an Ultreya and hold an official election. Geoff Davis will work with her.)

Information: Geoff has collected responses from other dioceses. Alabama has the lay director serve for a 2-year term. Rhode Island has a 2-year term. Central Florida has a 1-year term. He has also asked San Diego, Texas, New York, Pennsylvania, Easton, MD., and So VA. The information should be complete by June. Bill Burk hopes to have two (2) more Spiritual Directors by the next meeting.

Community Activities: 1. Ed Schneider is making arrangements for the Day of Deeper Understanding. He will have a place and speakers by two weeks from now. Mike May will be the Instructional Ultreya Master.
2. Several different churches will be having Prayer and Praise services to support the Weekend #123; these will be posted on the Website. St. Matthew's is ready to host forty (40) sponsors and friends for Saturday night of the weekend.
3. Jo asked Ed to schedule a Team Rectors' training day, perhaps for over the summer. Geoff said that there is an outline in the Team Training Manual for such an event. Mark's experience is that the Manual is often largely if not completely ignored. Shirley volunteered to lead such a training session sometime after the Fall/October weekend. Bill Burk suggested that we could rely on the Library for guidelines. Mark Hopkins will see that a draft of the revised Team Training Manual will be ready by mid-June for the Secretariat to review.

Regional Weekends: Yvonne Mulligan, Weekend Chair, wants some guidance from the Secretariat: Bill Burk recommended that someone be tasked with drawing up a prospectus. Spiritual Director. Bill wants a little bit of Bible study and returning to the Library, talking about our role as leaders. He asked the Secretariat to think about this and write down some ideas for vision. We can follow the "Town Hall Meeting" model, meandering through the process, eating together and meeting 9 - 5. Or, we can be like the Marines and do our business very quickly and efficiently. We need to not feel overwhelmed, tasked and burdened, and if we do, perhaps we need to lay aside another burden and commit to this service. We need to discern how we can best serve our Lord. We need to come back continually to the Holy Spirit. We need to be filled with "Holy Awe" as we consider Cursillo. Our purpose in being is to love, praise, and serve God. Our responsibility is to God - lived out among us. He suggested writing a letter from Screwtape to Wormwood about ourselves (ref. C.S. Lewis: The Screwtape Letters). His final remark: when grouping, stick to the card!

Next Meeting: The May gathering of the Secretariat will be at Instructed Ultreya and the Day of Deeper Understanding, scheduled for May 17 and 18.
The next official meeting of the Secretariat will be on Saturday, June 8 in Faulkner Hall at St. George's, Fredericksburg. Gathering will begin at 9 a.m., with the meeting commencing at 9:30.
The meeting adjourned, after closing prayer offered by Bill Burk, at 11:55 a.m.
